Passport damaged or only briefly valid - what counts for the visa and entry

With a passport, two things are often mixed up: the validity, meaning how long the passport is still valid, and the condition, meaning whether it still counts as a valid travel document. Both can decide your visa and your entry — regardless of whether you travel visa-free or with a visa.

What the Schengen area requires

For a Schengen visa, the passport (Art. 12 Visa Code) must be valid for at least three months beyond the planned departure, have at least two empty pages and have been issued within the last ten years. At the border the same three-month rule applies (Art. 6 Schengen Borders Code). There the officers additionally check the validity and condition of the document.

Passport valid only briefly

A passport valid only briefly is not a problem in itself, as long as it covers the trip plus three months. For a multi-year multiple entry, the remaining validity limits how long the visa can be issued at most — not whether it is issued. If the passport is tight, renew it beforehand and apply with the new passport.

When a damaged passport becomes a problem

Airlines and border authorities may refuse a visibly damaged travel document. Particularly delicate are a damaged or illegible data page, water damage with softened or soiled pages, torn or missing pages and a loosened binding or cover, as well as unreadable stamps or visas.

A residence permit or a residence card does not replace a valid passport if you cross a border and want to re-enter.

Water damage and e-passport

With water damage or stronger bending damage, the chip in the e-passport may be defective. Then e-gates and the EES registration do not work. Do not rely on it "working out" at the airport — you carry the risk.

What to do

Renew in good time and plan for the processing time. If it has to be very fast, for instance because of an emergency such as a death or illness, you apply for an emergency or express passport at the competent representation, often within one to two days. And mind the order: first the new passport, then the visa — submit the application with a valid, undamaged passport.

What often goes wrong

Taking a damaged passport along in the hope that it "gets through" — the risk lies at check-in or at the border. Fewer than two empty pages. A passport that is too narrowly valid. An underestimated water damage (chip, e-gates, EES). And viewing the residence card as a substitute for the passport on border crossings.
